When it comes to your overall marketing strategy, an event can be a business’s best bet for showing off new products, services and more to an interested audience. And one of the biggest factors in making your events a success is the use of different event technologies, either by using them in the planning process or on the day itself.

Event Technologies: Are they Worth it?

But are event technologies really all that important when it comes to running a successful event? Are event technologies really worth the investment? In the following article we’ll be taking a look at some of the most prominent event technologies, including event management software, RFID tech and event apps to see if they’re really worth the investment.

Event Management Software (EMS)

EMS technology helps you manage your event before, during and after, and presents several benefits, including being able to improve the efficiency of your events.

Most EMS applications feature some form of automation, such as automated email outreach, payment processing and pre-event registrations. This automation allows you and your staff to focus on the creative aspects of your event, rather than the admin, which means the event can be a much more memorable experience for your attendees. Plus, saving time on organization is a great way to save money as well.

With EMS, you’re also presented with the opportunity to make your events more interactive and engaging. With features like smart registration forms, you can gain a better understanding of your attendees and what their interests are; meaning you can recommend activities, seminars or features to attendees to deliver a more personalized and memorable experience for them.

RFID technology

RFID (Radio Frequency Identification technology) refers to any tools and technologies that use RFID tags to encode digital data, which is then captured by an external reader. Outside of business events, you’re most likely to see RFID technology at places like music festivals, to allow for quicker, more efficient entries into the venues.

One of the biggest benefits of RFID Technology is that it helps to boost the overall experience; attendees can be scanned and admitted, without needing to worry about keeping track of loose tickets. And, of course, attendee experience goes a long way in creating a successful and memorable event.

RFID will also increase the efficiency of your events; by cutting down on the resources and staff usually needed to admit attendees and by simplifying the whole process. This gives you real-time, on-site and in zone data figures, allowing you to focus on improving other areas of your event, like being able to deploy staff where they’re needed, direct attendees to less busy areas, manage fixed capacity areas, and more.

Event apps

Event apps are one of the most popular event technologies seen today. They’re particularly popular as they can fulfil a variety of roles in your event strategy, based on what your goals and objectives are.

A key benefit of event apps that makes them worth the investment, is the analytics they can provide. Detailed reports of all the different aspects of your event will usually be available, which can help you to monitor the growth and success of your event, and this data can then be used to build better events in the future.

They can also make your events more efficient, especially if they’re used in conjunction with other event technologies, such as EMS. Like with RFID technology, event apps can be used to simplify the registration and checking in process, which can be automated through some event apps.

Event apps are perhaps best used for increasing the interactivity of your events. In-app audience tools such as live polling, discussion forums and activity streams are a great way to maximize your audience engagement and build interest among attendees; and an engaging event is a memorable one, making your events more likely to lead to repeat attendances and further conversions.

So is event tech worth the investment?

A common theme between all of the event technologies we’ve discussed, is that they all help to massively improve particular areas of your events; engagement, efficiency and analytics.

The more engaging your event is, the more repeat attendances and further sales you’ll see from future events. The more efficient your event is, the more time and money you’ll save on the planning and running of it. And the more data insights you can gather, the better you’ll be able to make your event experiences on the day and in the future. It’s obvious event technologies are absolutely worth the investment.
